Cleaning, Archiving, and Deleting an Email in Cloud Mail

This is an article about cleaning, archiving, and deleting emails in Cloud Mail. It discusses how to clean up email folders, archive email messages, delete email messages, and recover deleted email messages.

How to Clean Up Email Folders

Deleted messages from within email clients (such as Thunderbird, Outlook, or Apple Mail) may not disappear until you log out, depending on your settings. You might be able to see those messages if you log in to the email in your browser. You will need to clear the email folder if you wish to remove these messages.

Use the steps below to clean up email folders.

  1. In your internet browser, enter your email login page mail. <yourdomainname>.<extenstion>. For example, if your domain is janesbagels.com, enter janesbagels.com.
  2. Enter your login credentials, then click Sign In.
  3. Choose the folder you wish to clean up. The Drafts folder will serve as an example of this.
  4. Click on the Actions icon next to the folder name.

  5. Select Clean Up.

  6. You should receive a confirmation message once the clean-up is successful.

You can store emails without losing or erasing them by using the archive. Emails that are archived are moved to the Archive folder. The calendar year will be displayed in the subfolders within the folder. Every archived item gets relocated to the calendar year's subfolder in which you got the email.

Note: Archived emails will still be counted in the overall storage as they are still being stored in your email account.

Use the steps below to archive an email.

  1. Click on the email that you want to archive to select it.
  2. Navigate to the toolbar and click the Archive icon.

  3. Depending on which year the email you archived was received, a subfolder with a calendar year will be automatically generated beneath the Archive folder once the message has been successfully archived.

  4. To view the archived email, click on the subfolder, and the email should show.

How to Delete Email Messages

Message deletion indicates that you are prepared to permanently delete the email and that you will no longer require the information. By default, deleted emails will be stored in the Trash folder.

Use the steps below to delete an email.

Important: Enabling the option to Permanently remove deleted emails means that we will not be able to recover any deleted messages. We recommend only this setting if necessary. By default, emails will be stored in the Trash folder.
  1. Choose the email that you wish to delete by clicking on it.
  2. Go to the toolbar and select the Delete icon, and the message will be moved to Trash.

  3. The messages will be moved to Trash.

To permanently delete an email:

Important: Permanently deleting emails cannot be undone. If you permanently delete an email, we will not be able to recover the message. Please be sure you no longer need the message before permanently deleting it.
  1. Open the Trash folder and select the messages you would like to delete.

  2. Click the Delete icon, and the email will be permanently deleted.

How to Recover Deleted Email Messages

If you delete an email accidentally, you can recover it before permanently deleting it from the Trash folder.

Note: If you have permanently deleted an email, we will not be able to recover the message.

Use the steps below to archive an email.

  1. Open the Trash folder and select the email you would like to recover.
  2. Go to the toolbar and select the Move button by clicking the icon.

  3. The deleted emails will then be moved to the folder you chose, and it should be visible there.
Important: You can use the Lazy Expunge – User Message Recovery in Cloud Mail feature to retrieve deleted messages within 14 days after their deletion. After the 14-day window, the messages are permanently deleted and not recoverable.
